What Do I Need to Know to Bring the Exhibit to My Venue?
Guidelines for hosting:
The following guidelines are to assist you in hosting the Traveling Exhibit.
Installation
The Traveling Exhibit must be protected against fire in accordance with local ordinances.
The Traveling Exhibit cannot be exposed to direct sunlight.
Constant temperature control is required.
Gallery space must be equal to or greater than the space requirement for the Traveling Exhibit.
Secure, clean, dry on-site storage must be provided for packing materials.
Shipping
The Traveling Exhibit delivery can be through regular doors. No loading dock is required.
The borrowing institution must create a condition report on unpacking and repacking of the Traveling Exhibition.
If your venue is within driving distance to Amherst, MA, you could pick up the exhibit in a van and avoid shipping company fees.
Costs
Each borrowing institution pays a $500.00 rental fee when signing the contract. If that fee is prohibitive, please contact us so we can discuss options. The borrowing institution is also responsible for the shipping fee, which is separate from the borrowing fee. If your venue is within driving distance of Amherst, MA, it is possible to bring the exhibit to your venue by van (as vs. a shipping company), thereby saving shipping fees.
The borrower must carry insurance on the exhibit from the day of arrival until the day of departure.
The borrower is responsible for door-to-door transportation of the exhibit to the next venue using the designated shipper.
Insurance
All borrowing institutions must provide a certificate of liability insurance for standard commercial coverage.
Security
The exhibit cannot be installed outdoors or in a temporary building or structure.
When open to the public, the building hosting the exhibit must be under the supervision of a staff member or volunteer. The building must be locked and secure when the facility is closed.
Booking
Bookings will be arranged only with host institution; no third party may request exhibitions.
Persons requesting the exhibit must be authorized to guarantee that the host institution fulfills all exhibit requirements.
The borrower must submit:
1. An exhibit request form (click here to download)
2. A signed contract (click here to download)
Bookings are usually for four to six weeks. A minimum of one week is allowed between bookings for uninstalling, condition reporting, repacking, shipping, and at next venue, unpacking, condition reporting, and installing the exhibit.
Handling
The borrower must provide staff or volunteers to supervise all handling.
Condition reports must be completed at unpacking and repacking of the exhibit.
What Are the Dimensions of the Traveling Exhibit?
The Traveling Exhibit “A Reason to Remember” will arrive in 5 hard plastic containers. Each one contains 5 or 6 retractable screens, each in its own protective case. Also included are attachable lights with extension cords (optional). The exhibit consists of 30 retractable screens, which can be set up by 2 people in approximately 2 hours. Each screen is 36” wide and 81” tall. They can be arranged in a variety of ways: around the perimeter of a room, back to back, at angles to accommodate the space available, etc. Because of its flexible design, it can be set up in most spaces. The exhibit comes with directions and illustrations showing how to set up the retractable screens.
Also included is an 8 minute video of the survivors describing their life as children in Nazi Germany. The venue needs to supply a computer monitor or TV to show the video, which can be seen in DVD format (included with the exhibit) or by streaming.
How Do We Install the Exhibit?
The retractable screens are simple to install. Two people can set up the exhibit within 2 hours. The screens pull up from the aluminum casing and attach to a pole that is included with each screen. If venues would like additional lighting on each screen, attachable lights, as well as extension cords, are also included. See illustration below.
Step 1: Remove banner stand from case.
Step 2: Remove expandable pole from slot in base and open.
Step 3: Turn foot in center of base to open position.
Step 4: Place one end of pole in hook.
Step 5: Raise banner to fully extended position.
Step 6: Place other end of pole in hole on base.
Step 7: Adjust foot of base.
Note: Light clips on top of banner.
The Traveling Exhibit will be shipped to you via a professional freight shipping company. You are responsible for the cost of shipping the exhibit to your venue and then returning it to Amherst, MA or to the next venue if that is closer to your location.
